Welcome to Bespoke Travel Concierge (“we,” “us,” or “our”), a DBA of Ubuntu Strategies, LLC. By engaging our services, you (“client,” “you,” or “your”) agree to the following terms and conditions. Please read carefully.
1. Services
We offer customized travel planning services including, but not limited to, hotel bookings, itinerary design, excursions, transportation coordination, and, in some cases, flight bookings (premium economy and above). Services are billed based on the package selected:
Upgrades or additional services requested by the client will be billed accordingly.
2. Fees and Payment
All planning fees are non-refundable and required before services commence. Payments for travel components (hotels, tours, transfers, flights, etc.) may be made directly by the client or processed through us, depending on arrangements.
Deposits for trip elements are set by vendors and will be communicated before booking.
By providing payment information, you authorize us or our partners to charge your chosen payment method for agreed-upon travel arrangements. Chargebacks may not be initiated except in situations of actual fraud.
3. Changes and Cancellations
Changes after booking may incur additional fees and are subject to availability. Supplier cancellation policies vary and will be included in your invoice or itinerary. We are not responsible for supplier penalties, refund delays, or forfeited amounts. All planning fees remain non-refundable.
If you cancel travel after arrangements have been made, you remain responsible for any outstanding vendor balances.
4. Travel Insurance
We strongly recommend comprehensive travel insurance. We partner with Faye and can provide tailored options. “Cancel for Any Reason” coverage is only available within the applicable timeframe, typically within 14 days of deposit.
We are not liable for losses not covered by travel insurance.
5. Client Responsibilities

6. Independent Providers and Supplier Responsibility
We act solely as an independent contractor. We are not an agent or representative of airlines, hotels, tour operators, transportation providers, insurance companies, or any other supplier.
Suppliers are responsible for their own performance. We do not control and are not liable for:
Any activities or bookings arranged independently of us are solely your responsibility.
7. Assumption of Risk and Waiver of Liability
Travel involves inherent risks. By booking through us, you voluntarily assume all risks including but not limited to:
To the fullest extent permitted by law, you waive all claims against Bespoke Travel Concierge and Ubuntu Strategies, LLC arising from these risks.
You are responsible for determining whether activities such as hiking, water sports, boating, safaris, or adventure excursions are suitable for your condition and preferences.
8. Client Conduct
We may terminate support or remove clients from group experiences for conduct that is unsafe, disruptive, discriminatory, threatening, or inappropriate. No refunds will be provided in these circumstances.
You are responsible for your conduct toward suppliers and fellow travelers.
9. Emergency Support
We will provide emergency contact information for on-the-ground support partners and insurance providers.
VIP Package clients receive elevated support during travel. While we are not able to provide real-time or 24-hour coverage, we will respond as promptly as reasonably possible given time zone differences and availability.
This same standard applies to all client inquiries during active travel unless otherwise agreed in writing.
While we strive to assist, we are not responsible for the timeliness or outcomes of responses from third-party providers, insurance companies, or local emergency services.
10. Intellectual Property
All itineraries, recommendations, trip designs, templates, and planning materials are the property of Bespoke Travel Concierge. These materials are for your personal use only and may not be shared, reproduced, or used for third-party travel planning without written permission.
11. Confidentiality and Data Use
Your personal information is used only for planning and booking travel. We do not sell or share your data. We may request permission to use testimonials or photos for marketing. We will never do so without your consent.
12. Dispute Resolution
Both parties agree to attempt informal resolution of disputes through written communication before pursuing formal action.
13. Entire Agreement
These Terms and Conditions constitute the complete agreement between you and Bespoke Travel Concierge / Ubuntu Strategies, LLC and replace all prior discussions, written or verbal.
14. Acceptance of Terms
By engaging our services, you acknowledge and agree to these Terms and Conditions. We reserve the right to update or amend these terms. Updated versions will be posted on our website or provided directly to clients.
