Welcome to Bespoke Travel Concierge (“we,” “us,” or “our”). By engaging our services, you (“client,” “you,” or “your”) agree to the following terms and conditions. Please read carefully.
1. Services
We offer customized travel planning services, including but not limited to hotel bookings, itinerary design, excursions, transportation coordination, and in some cases, flight bookings (premium economy and above). Services are billed based on the package selected:
Some services may be upgraded at the client's request and will be billed accordingly.
2. Fees & Payment
All planning fees are non-refundable and required prior to commencement of services. Payments for travel components (hotels, tours, flights) are made either directly by the client or through us, depending on arrangements. Invoices will include clear due dates and instructions. For trip elements we book, a 20% non-refundable deposit is typically required to secure arrangements. Though payment terms are communicated before booking.
3. Changes & Cancellations
Changes after booking may incur additional fees and are subject to availability. Cancellation policies vary by provider and will be communicated clearly in your itinerary or invoice. In the event of a client-initiated cancellation, we are not responsible for supplier penalties or refunds. All planning fees remain non-refundable.
4. Travel Insurance
We strongly recommend the purchase of comprehensive travel insurance. We work with Faye for insurance quotes and will provide options tailored to your trip. Cancel For Any Reason coverage must be added within 14 days of trip deposit. We are not liable for any losses not covered by insurance.
5. Client Responsibilities
You are responsible for verifying the accuracy of all documents (names, dates, etc.), meeting passport and visa requirements, and complying with all travel regulations including vaccination, customs, and re-entry requirements. Failure to do so may impact your travel and is not the responsibility of Bespoke Travel Concierge.
6. Limitation of Liability
While we strive to work with vetted and reliable partners, Bespoke Travel Concierge is not liable for acts or omissions of third-party providers (airlines, hotels, tour operators, etc.). We are not responsible for injury, loss, delay, or damage caused by force majeure events such as natural disasters, government actions, strikes, or pandemics.
7. Emergency Support
In case of an emergency during travel, we will provide contact numbers for on-the-ground support partners and/or travel insurance providers. For clients on the VIP Package, we offer on-call assistance throughout your trip.
8. Confidentiality & Data Use
We respect your privacy. Your personal information will be used solely for planning and booking your travel. We do not share or sell your data. We may request permission to share photos or testimonials from your trip on social media or marketing materials.
9. Acceptance of Terms
Engaging our services indicates acceptance of these Terms & Conditions. We reserve the right to amend these terms at any time. Updated versions will be posted on our website and/or sent directly to clients.
